GroveHub is a platform that helps homeowners associations (HOAs) and the property
managers who serve them run their communities — announcements, maintenance requests,
architectural review, rule notices, events, documents, and dues. This policy explains what
we collect, why, and the choices you have. GroveHub is operated by CircleRootTech LLC
(“GroveHub,” “we,” “us”).
The short version. We collect the information needed to run your
community and process dues payments. We don't sell your data or use it for advertising.
Payments are handled by Stripe and go directly to your HOA's own bank account — we never
hold your money.
Information we collect
Account information — name, email address, and (for residents) home
address and unit, provided when you or your board create an account.
Community activity — the content you create in GroveHub: maintenance
tickets, architectural requests, appeals, RSVPs, announcements, uploaded documents and
photos, and the history of actions taken on them.
Dues and payments — the amount owed, payment status, and receipts.
Card and bank details are entered directly into Stripe's hosted checkout and are
not stored by GroveHub.
Location (optional) — if you allow it, your browser or device shares
an approximate location so we can show local weather on your dashboard. You can decline
this and everything else still works.
Device and log data — standard information such as IP address,
browser type, and timestamps, used for security and troubleshooting.
Marketing enquiries — if you request a demo or subscribe to updates
on our website, we keep the details you submit so we can follow up.
How we use information
To operate your community: showing the right content to residents, board members, and
property managers, and sending notifications you haven't turned off.
To process dues payments through Stripe and record them for your HOA.
To keep the service secure, prevent abuse, and fix problems.
To respond to support requests and demo enquiries.
To improve GroveHub. We do not use your community's content to train third-party AI
models.
Who can see your information
Within your community: residents see community-wide content and
their own private items (their tickets, requests, notices, dues). Board members and the
property-management company linked to your HOA can see the community's operational data
in order to run it.
Service providers that process data on our behalf: Google Firebase
(hosting, database, authentication, file storage), Stripe (payments), and Expo (push
notifications). Weather and place-name lookups use Open-Meteo and BigDataCloud with
approximate coordinates only.
Legal reasons: if required by law, or to protect the rights, safety,
or property of GroveHub, our users, or the public.
A business transfer: if GroveHub is acquired or merged, information
may transfer as part of that transaction.
We do not sell personal information, and we do not share it for cross-context behavioral
advertising.
Data retention
We keep community data for as long as the community uses GroveHub. If your HOA closes its
account, we delete or de-identify its data within a reasonable period, except where we must
keep records to comply with law, resolve disputes, or enforce agreements. Payment records
are retained as required for financial and tax purposes.
Your choices and rights
Notifications: adjust what you're notified about in your account
settings at any time.
Location: deny or revoke the browser/device location permission; the
weather widget simply won't appear.
Access, correction, deletion: contact us at the address below to
request a copy of your information, correct it, or delete your account. Depending on
where you live, you may have additional rights under laws such as the GDPR or CCPA/CPRA.
We will not discriminate against you for exercising them.
Residents can ask their board, and boards can ask us, to remove specific content.
Security
Data is encrypted in transit (HTTPS) and at rest by our infrastructure providers. Access
is limited by role, and payment credentials never touch our servers. No system is perfectly
secure, but we work to protect your information and will notify affected users and
authorities of a breach as required by law.
Children
GroveHub is intended for adults managing or living in an HOA. It is not directed to
children under 13, and we do not knowingly collect their information.
International users
GroveHub is operated in the United States. If you use it from elsewhere, your information
is processed in the United States, which may have different data-protection rules than your
country.
Changes to this policy
We'll post any changes here and update the date above. Significant changes will be
communicated in the app or by email.
